DUTIES: The Department of Social Work at SUNY Downstate Medical Center is seeking a proactive, professional individual to serve as the Staff Assistant to the Social Work Supervisor and Director of Pastoral Care. This individual must have excellent communication skills as they will be responsible for, not limited to the following: - Coordination of divisional activities among individuals and groups working within the Social Work and Pastoral Care Department. - Acting as liaison between staff members and administrative, academic, research, and clinical personnel as well as off campus individuals. - Maintenance of accurate, up-to-date records of State and department funds, to include research grant monies where applicable. - Independently responds to routine correspondence and fulfills other duties as assigned. - Managing the front office via phone and face-to-face interactions; receive and screen customers in the office as well as route incoming calls to the appropriate person. - Engage the public, including but not limited to: family members, customers, home care agencies, insurance companies, nursing homes as well as internal staff. - Compile monthly statistics; generate reports and other data as needed. - Coordinate and maintain the Supervisor and Director's schedule of activities; compile information and assist in the preparation for meetings, conferences, seminars, in-services as needed. - Take minutes at all staff meetings, compile agendas, sign-in sheets and summaries. - Work collaboratively with the internal departments and external agencies as it relates to daily operational activities of the departments. - Design and implement systems to accurately record and monitor allocations and expenditures for Social Work. - Coordinate all computer related functions, including updating all departmental policies and procedures.
