| Administration: Plan, direct and coordinate administrative functions of office including general office administration, supervision of administrative coordinator and overall office management to include IT, telecom and office equipment. |
Finance and Accounting: Oversee internal accounting functions to include payroll, invoices, dues payments and the preparation and monitoring of annual budget and fiscal health of association and affiliates.
ACCOUNTING: • Ensure that all invoices are paid in a timely manner • Process all payments for dues, meetings, and publications • Record bank deposits • Provide information as necessary to auditor • Prepare and monitor annual budget • Prepare journal entries • Prepare monthly financial statements and conduct bank reconciliations. • Work with RPA treasurer to insure he/she understands the financial status of the association at least monthly. • Oversee implementation of investment policy and assist with investment in decisions collaboration with investment broker and executive director. • Update association accounting policies.
GENERAL OFFICE ADMINISTRATION: • Supervise administrative staff person and provide back up support for telephone answering, etc. • Coordinate hiring temporary help when necessary. • Oversee office supply inventory; inventory of off-site storage. • Oversee all activities related to the maintenance of the office space, equipment and systems. • Oversee contract support for computer maintenance; accounting services. • Ensure that business records are stored properly; maintain accurate log of requirements for all types of documents; arrange for removal and destruction at appropriate times. • Update and maintain RPA online Store with current offerings and manage order fulfillment.
HUMAN RESOURCES: • Maintain current job descriptions for all employees. • Work with human resources vendor, to insure all benefits are current and managed appropriately. • Review, submit and approve bi-weekly payroll and monitor tax filings, employee deductions, and administration fee to ensure accuracy. • Update Employee Procedures Manual as needed. • Obtain, monitor and maintain records of all association insurance coverage including Directors and Officers, Facility and property, Employment practices, etc. • Develop and coordinate delivery of all general training for employees – personal, professional, and team development. • Maintain and expand knowledge and understanding of existing and proposed federal and state laws/regulations affecting human resources management. • As directed, participate in the investigation and resolution of ongoing employee relations problems, anticipate problems whenever possible, and develop, recommend, and initiate appropriate steps for resolution. • Coordinate new employee orientations with HRI.
PROGRAM MANAGEMENT SUPPORT: • Serve as treasurer for RPA’s Political Action Committee (PAC), maintain accurate accounting records, provide all administrative support required for the PAC at the direction of the PAC manager including implementing PAC Board recommendations, prepare documents for FEC filings, update the website with contributor information; prepare thank you letters for contributors and maintain contact information for fundraising staff in offices with targeted elected officials. • Provide staff support to the revenue enhancement strategic plan workgroup. • Develop fundraising strategy to revitalize and sustain the Research and Education Foundation. • Monitor renewal timeframes for corporate patrons and insure that invoices are prepared and disseminated 60 days in advance of the expiration of participation, maintain accurate and comprehensive records of patron companies’ points of contact. Identify potential new corporate supporters.
